How to Create an Email Signature in Gmail

Even with the intense competition from the likes of Slack and Teams, email providers such as Gmail are far from dead. They’re still the first choice for newsletters, banking updates, and business conversations. Speaking of conversations over mail, you can create a personalized email signature to let the recipient know about the company details and more quickly. Here’s how to create an email signature in Gmail.

How to Add an Email Signature in Gmail Web

Go through the steps below to set up a signature for emails you compose in Gmail on the desktop site.

Step 1: Open Gmail on the desktop and sign in with your Google account credentials.

Step 2: Tap on the Settings icon in the upper right corner.

Step 3: Select See all settings.

Step 4: Go to the General tab and scroll down to Signature.

Step 5: Tap on Create new.

Step 6: Now, give your signature a title.

Google offers a composing UI similar to what you find on Google Docs. You can add images, play with text style, size, alignment, and more.

Note: You can create and add as many email signatures as you like.

Step 7: Select the email signature you wish to use for new emails and reply/forward emails by clicking on them.

Tip: You can use separate email signatures (or no signature) for new emails and reply/forward-type emails.

Step 8: Scroll down to the end of the screen and select Save Changes.

From now on, you will see the default email signature in the compose box whenever you compose an email using Gmail web.

How to Insert an Email Signature in Gmail with Picture

You can also add an image as your email signature in Gmail. Go through the steps below. 

Step 1: Follow the above steps and go to the General menu in Gmail Settings.

Step 2: Select Create new under Signature. Enter signature name.

Step 3: Select the insert image icon from the toolbar and upload your picture from the computer. You can attach a picture from your Google Drive account too.

Step 4: You can check the live preview from Gmail Settings. You can even change the image size from the same menu.

How to Add a Signature in Gmail with Logo

While there isn’t a native way to add a logo as a Gmail signature, you can generate a custom signature in a third-party tool like WiseStamp. You can add social details, pick a design from several templates, and add a logo to complete a professional-looking signature. 

Step 1: Once you make a custom signature using WiseStamp, copy the signature from the draft.

Step 2: Go to Gmail web > click on Settings > select See all settings. Now, head to General.

Step 3: Click on Create new and paste the signature there.

Step 4: Confirm the preview and hit Save Changes.

How to Make a Signature in Gmail Mobile App

The signature you create using the Gmail web will automatically be used for the emails sent using the mobile app as well. However, if you wish to use a separate email signature for the Gmail app, you can do that as well. Follow the below steps.


  • The signature created for the Gmail app won’t reflect or change the signature created for the Gmail web.
  • Gmail’s Android and iOS apps are identical in looks and functions. The steps below are for Gmail Android. You can use the same steps on the Gmail iOS app to set the signature.

Step 1: Open the Gmail Android app.

Step 2: Tap on the hamburger menu and go to Settings.

Step 3: If you’re on Android, select the relevant Gmail account. (iPhone users can move on to the next step).

Step 4: Now, scroll down to Mobile signature under the General menu.

Note: If you’re using iPhone, select Signature Settings under Compose and Reply. Now, toggle on Mobile signature.

Step 5: Add the text for the signature. Like the Gmail web, you won’t have all the editing options.

Step 6: Once done, Hit OK or Done and you are good to go.

How to Change Signature in Gmail

Recently changed job or received a promotion in the company? You might want to update the existing email signature with a new job title. Go through the steps below to edit your signature in Gmail.

Step 1: Open Gmail on the desktop and sign in with your Google account credentials.

Step 2: Tap on the Settings icon in the upper right corner.

Step 3: Select See all settings.

Step 5: Here, you will see all the added email signatures on Gmail. Tap on the Edit icon to make changes to the signature of your choice.

You can also tap on the delete icon to remove the email signature.

  • Don’t put your name and a point or two of contact information in your signature. That way you’re not taking full advantage of the opportunity to connect and engage with the people you’re emailing.
  • Don’t go overboard either. Jamming your signature full of links and information is just plain spammy and self-promotional. It won’t make a good impression on the other side.
  • Your email signature should depend on personal preference, your organization’s brand, and culture, and even the industry you’re in.
  • You can add information such as first and last name, affiliation info such as job title and department, social profile icons with a call to action, photo, and logo.
